Updates to Send with Groove in Microsoft Outlook

We're improving your Outlook email experience by simplifying how you send tracked and logged emails. With this update, we're addressing issues like emails getting stuck in drafts or failing to send by allowing users to send emails with Outlook's native Send button. It streamlines your workflow by removing the need for a separate Send with Groove button.

 

What’s Changing

  • Seamless Tracking & Logging: You’ll be able to use Outlook’s native Send button to track email opens, clicks, and replies, and automatically log emails to Salesforce.
  • Improved Reliability: By leveraging Outlook’s native sending capabilities, we're eliminating issues like emails getting stuck in drafts or failing to send.
  • Simplified Workflow: The Send with Groove button will be removed, reducing clicks and making email sending more efficient.

 

How It Works

We're rolling out this improvement in phases:

  • Phase 1 – Early March: Begin using Outlook’s Send button to send emails. A subtle banner message will appear when clicking Send, confirming Clari Groove is working on sending your message, for all emails sent through Outlook. Internal emails will continue to not be logged. No other changes will occur at this stage.
  • Phase 2 – March - May: Users will see the Send with Groove button removed from just the task pane. It will still be available in the ribbon, and users should continue using Outlook’s Send button. This allows us to fine-tune the experience before the full rollout.
  • Phase 3 – June: The Send with Groove button will be completely removed, and all tracked and logged emails will be sent using Outlook’s native Send button.

 

What You Need to Do

No action is required—this update will happen automatically. If you are a Classic Outlook on Windows user, please note that the changes will only be visible on the new Outlook for Windows. For more information, visit the knowledge base.

Hi ​@Liz Stuart Great! We’re excited for this new experience. We have submitted this update to Microsoft, our goal is to time it so it goes lives the first week in March (with our normal feature release on 3/5) but we can’t control the exact date when it gets published to the ad-in store.

Once its approved we will provide an update here, but we recommend letting your users know its coming in the next week or two. Hope that helps!

@ashubel Ok, good to know!  How will you update when it is Live?  Do we just have to regularly check or will there be additional information sent?  Thanks for the quick response!  Appreciate it.

Hey ​@ashubel A user is trying to send an email through Outlook via Send with Groove and it appears to lag and often time doesn’t send. The screenshot below.

@ashubel Sorry for the follow-up.  I know this feature is not live until around 3/5 but it appears as though it is Live now because that error message is consistent with what the product feature was describing we would see.  Would it make sense for this user to perhaps hit Send and not Send with Groove?

Sorry for the delay, I was able to confirm with the team that what you shared in the screenshot is not the new experience. This banner in your screenshot does match the screenshot above because this is the existing experience that will be deprecated. 

 

Sorry for the confusion, if you are seeing lagging or delays, the update will fix these errors so we are eager to get the update to users as soon as possible. I will provide an update here when the update is live.

We are happy to announce that Outlook has approved the publish of our newest add-in with this feature update. Users can expect to see Phase 1 of the new functionality available over the course of a few hours as the Microsoft update reaches all users.

@Jenna Feeney I just tried sending an email in Outlook using the Send with Groove and it’s still showing Sending with Groove the email I sent.  Any thoughts?

@Jenna Feeney Sorry for the f/u but can you clarify that within a few hours we should no longer see Send with Groove in Outlook and that users can proceed to just hit Send in Outlook, correct?

Hi ​@Liz Stuart , thanks for the comments! We’re seeing Outlook rolling out the first phase of the changes (to track and log email with the native Send button), but from what we’re seeing right now the rollout to all customers is moving a little more slowly than advertised! Once it hits everyone, however, you can expect to still see the Send with Groove button until we move into Phase 2 as seen in the screenshot in the initial post here. While in Phase 1, the native Send button will work to track and log your emails. If you’d like to move away from that button more quickly, feel free to message me and I can work with you directly to remove that button!
