A question that we hear quite a lot is “Why are some users stuck in ‘Invited’ status?”. Some users may appear as “Invited” under the User page in Manage My Org, even though they may have partially completed onboarding or begun using certain Groove features. This FAQ article explains what this status means, why it happens, and how to resolve it.

 

 

Q: What “Invited” status means

A user remains in “Invited” status when they have accepted their invite but haven’t fully completed all onboarding steps required to be moved to “Active.”

Because Groove syncs user activation with completion of specific setup tasks, a user can technically use parts of the platform but still appear as “Invited” if they missed a final step.

 

Q: What are the required steps to become “Active”

For a user to transition from Invited ➜ Active, all of the following conditions must be met:

  • They have successfully signed into the Groove web app.
  • They have installed and signed into the Groove Chrome extension.
  • (Microsoft 365 customers only) They have installed and signed into the Groove Outlook Add-In.

Once these steps are completed, the user’s status automatically updates to Active within Groove.

 

Can “Invited” users still be active in the platform?

Yes. It’s possible for users with the “Invited” label to still interact with Groove features, particularly if they skipped only the final onboarding step.
To verify this, check user activity data:

  • Go to Analytics for the past 90 days.
  • If a user shows no recorded activity, they likely haven’t completed onboarding.
  • If activity exists, they are technically using Groove but haven’t completed all setup steps.

 

Do “Invited” users consume licenses?

Yes, Groove licenses are assigned at the time of user provisioning — not upon full activation. Therefore, “Invited” users do count against your company’s license total, even if they haven’t completed onboarding.

 

How to resolve the issue

To help affected users complete onboarding:

  1. Share this link with the user: groove.clari.com/onboarding
  2. Ask them to follow all steps in the onboarding flow.
  3. Their status will update to Active once all requirements are met.
